TOLEDO CARD SHOW
VENDOR POLICY & AGREEMENT
ALL VENDORS WHO PURCHASE ONE OR MORE TABLES FOR ANY TOLEDO CARD SHOW EVENT AUTOMATICALLY AGREE TO THE FOLLOWING TERMS, CONDITIONS, POLICIES, AND REQUIREMENTS.
1. EVENT CONDUCT
Each vendor, including all employees, helpers, associates, representatives, and guests (“Vendor”), shall conduct themselves in a professional, respectful, and lawful manner at all times during the event.
The Toledo Card Show is intended to provide a safe, family-friendly environment for collectors and attendees of all ages. Harassment, threatening conduct, abusive language, discrimination, intoxication, aggressive behavior, or disruptive actions toward attendees, vendors, venue staff, or Toledo Card Show staff will not be tolerated.
Toledo Card Show reserves the sole right to determine whether conduct is inappropriate and may remove any Vendor from the event without refund.
2. COMPLIANCE WITH LAWS & VENUE RULES
Vendors must comply with:
• All federal, state, and local laws and regulations
• All applicable tax and licensing requirements
• All venue policies and safety regulations
• All instructions and directives issued by Toledo Card Show staff or venue management
Vendors are solely responsible for collecting, reporting, and remitting all required sales tax and business-related obligations.
3. VENDOR FEES, CANCELLATIONS & REFUNDS
Vendor table purchases are non-refundable.
Cancellation Credit Policy:
• Vendors who fail to appear or fail to communicate with event organizers may forfeit all future participation eligibility.
All refund, cancellation, and credit determinations are made solely at the discretion of Toledo Card Show.
4. APPROVED PRODUCTS & SALES
The Toledo Card Show is a collectibles and hobby event featuring sports cards, Pokémon, trading cards, comics, memorabilia, autographs, Funko Pops, video games, collectibles, and related hobby merchandise.
Vendors may only sell products appropriate for the event and approved by Toledo Card Show.
The following are strictly prohibited:
• Counterfeit merchandise
• Stolen merchandise
• Altered, tampered, resealed, or fraudulent products
• Illegal merchandise
• Unauthorized reproductions or intellectual property violations
• Food or beverage sales without written approval
Any Vendor found selling prohibited merchandise may be immediately removed from the event without refund and permanently banned from future Toledo Card Show events.
5. TABLE REGISTRATION & VENDOR ACCESS
Each vendor table purchase includes:
• One (1) 8ft vendor table
• Admission for up to two (2) approved vendors
• Access to all scheduled event days associated with the registration
Additional guests, helpers, employees, or associates beyond the two approved vendors per table are subject to general admission fees.
Vendor registrations are considered commitments for all scheduled event days connected to the purchased table registration.
6. DISPLAY CASE & SECURITY REQUIREMENTS
Toledo Card Show and the venue are not responsible for theft, loss, damage, disappearance, or destruction of Vendor merchandise, cash, displays, equipment, or personal property.
Vendors participate entirely at their own risk and are encouraged to maintain appropriate insurance coverage.
7. CHECK-IN, SETUP & EVENT HOURS
Vendor check-in:

Friday from 3PM - 9PM.

Saturday set up 8:00AM - 10AM

Sunday 8AM - 10AM
All vendors must be completely set up no later than 10AM each event day.
8. TABLE PLACEMENT & FLOOR RULES
Table assignments are determined solely by Toledo Card Show.
Vendors may not:
• Move assigned tables without approval
• Block aisles, exits, entrances, or neighboring vendors
• Extend displays beyond assigned areas
• Obstruct emergency exits or fire lanes
Requests to be placed near another vendor must be submitted during checkout in the notes section. Placement requests are not guaranteed.
9. SOUND, PROMOTIONS & GAMBLING RESTRICTIONS
Vendors may not use speakers, amplified sound, microphones, or disruptive promotional activities without prior written approval.
The following activities are prohibited unless expressly approved in writing by Toledo Card Show:
• Gambling
• Betting or wagering
• Raffles requiring payment
• Lotteries or games of chance
• Any activity prohibited by applicable law
Violation of this section may result in immediate removal from the event without refund.
10. DISPLAYS & EVENT PRESENTATION
All displays, signage, decorations, and presentations must remain professional, appropriate, and safe.
Displays may not:
• Interfere with attendee movement
• Obstruct neighboring vendors
• Create safety hazards
• Include offensive, explicit, discriminatory, or inappropriate material
Toledo Card Show reserves the right to require modifications or removal of any display.
11. DAMAGE, THEFT & EVENT PROPERTY
Vendors may not damage, misuse, steal, remove, or alter venue property or event property, including tables, chairs, display equipment, signage, coverings, or rented materials.
Any Vendor responsible for theft, misuse, or damage to event property may be subject to fines, removal from the event, restitution costs, suspension, or permanent banning from future Toledo Card Show events.
12. CLEANUP REQUIREMENTS
Vendors are responsible for maintaining clean vendor areas throughout the event and must fully remove all merchandise, trash, packaging, displays, and materials at the conclusion of the event.
Failure to properly clean assigned areas may result in cleanup fees, suspension, or denial of future vendor participation.
13. INDEMNIFICATION
Vendor agrees to defend, indemnify, and hold harmless Toledo Card Show, its owners, organizers, affiliates, employees, contractors, volunteers, venue partners, and representatives from any and all claims, damages, liabilities, losses, costs, expenses, or legal fees arising from:
• Vendor participation in the event
• Vendor merchandise or sales
• Vendor negligence or misconduct
• Actions of Vendor employees, helpers, or associates
• Claims related to counterfeit, illegal, defective, or infringing merchandise
This obligation survives the conclusion of the event.
14. LIMITATION OF LIABILITY
To the fullest extent permitted by law, Toledo Card Show shall not be liable for indirect, incidental, consequential, punitive, or special damages, including lost profits or business interruption.
Total liability for any claim related to the event shall not exceed the amount paid by Vendor for participation in the specific event.
15. EVENT CHANGES & FORCE MAJEURE
Toledo Card Show reserves the right to modify event dates, venue layouts, hours, vendor placements, schedules, or operational details at any time.
Toledo Card Show shall not be responsible for delays, interruptions, postponements, or cancellations caused by circumstances beyond reasonable control, including but not limited to:
• Severe weather
• Natural disasters
• Venue issues
• Government actions
• Public health emergencies
• Utility failures
• Labor disputes
• Acts of God
Refunds or credits related to such circumstances are granted solely at the discretion of Toledo Card Show.
16. REMOVAL & TERMINATION
Toledo Card Show reserves the right to remove any Vendor from the event without refund for:
• Violation of this Agreement
• Illegal or unsafe conduct
• Disruptive behavior
• Fraudulent sales practices
• Policy violations
• Conduct negatively affecting the event, attendees, vendors, or venue
All enforcement decisions made by Toledo Card Show are final.
17. GOVERNING LAW
This Agreement shall be governed by and interpreted under the laws of the State of Ohio.
Any disputes arising from participation in Toledo Card Show events shall be resolved exclusively within the State of Ohio.
18. ENTIRE AGREEMENT
This Vendor Policy & Agreement constitutes the complete agreement between Toledo Card Show and Vendor regarding participation in the event and supersedes any prior verbal or written communications.
By purchasing vendor space for any Toledo Card Show event, Vendor acknowledges that they have read, understood, and agreed to all terms and conditions contained herein.
